How do email notifications work for assignees of Action Items?

Managing Action Items: Understanding Email Notifications

Action Item Management (AIM) is a fundamental function of Weever. AIM is your standardized process to ensure issues are evaluated, assigned, and completed with a core function being to notify assignees of Action Items for which they are responsible and make sure they are aware of pending due dates.

This page is an overview of how you can manage this in Weever.

Overview of Email Notifications

If a “Due Date” is added, the Assignee user(s) will receive emails on the following cadence: All emails include a link that navigates directly to the workflow.

  • As soon as it is assigned (this will be sent even if there is no due date)
  • Five days before due date
  • On due date if the workflow still has an "open" status

This is what the emails look like: Emails

How to set your forms up so these emails are sent?

To set up these notifications, the first step is to enable the workflow feature for your form in Form Builder. This will enable to assignee and due date functionality in the side panel of your workflows.

You can also add Action Item fields and a due date field to your form if you'd rather. This will remove the docked Assignee & Due date field in the workflow. You can only use one Due Date field in your form.
