What does each field mean in Form Settings?

Each form has a handful of settings that can be configured on a per form basis, learn what each of them do in this article.


Whether you are creating a new form, or editing an existing form, Form Settings can be accessed to setup how the form operates with the rest of our Weever system.

Status

Published - forms are available to be submitted.

Draft - forms are hidden. You can also draft old forms to archive your submission data.


Name:

This is the name of your form. Staff can search by this name on the Forms tab to locate the exact form they need to use. Screenshot 2024-04-22 at 11.31.47 AM


Folder:

Keep your forms organized in Form Folders. If you are building an inspection form, choose to the "Scheduled Inspections" folder. Learn how to manage Folders here.


Form Owner:

This is completely optional, but can be used to list who was in charge of creating the form.


Refresh on submission:

After the form is submitted a new blank copy loads. Ideal for group training forms, visitor log forms, form terminals, etc.


Create open ticket on form submission:

After the form is submitted, each submission creates a ticket in the In Progress tab so Users can work on the form over multiple sessions or assign follow-ups to other staff.


Open Ticket Settings:

Screenshot 2024-04-22 at 4.34.43 PMRequires a comment when closing the ticket - makes a text box popup display when a ticket is being closed so comments on the closure can be captured.

Notify the ticket creator when the ticket is updated - informs the original form submitter when any other User has made changes to the ticket from the In Progress page. 

User types allowed to assign on form submission - allows you to select which user types will be able to assign the ticket after its been submitted. Options are; Admins only, Admins and Supervisors, all users including Staff, or no one able at all.

Users allows to edit tickets created using this form - allows you to select which user types will be able to edit an tickets created by this form on the In Progress page. Options are; Admins only, Admins and Supervisors, or all users including Staff.

User types allows to view tickets made using this form - allows you to limit who will be able to see the submission on the In Progress page. Useful if you want to restrict staff users from seeing certain submission data. Options are; Admins and Supervisors, or all users including Staff.


Email Recipients:

Emails listed here (separated with commas) will receive an email notification upon the the first submission of each entry. If a form creates an action item in the In Progress page, changes saved henceforth will not incur an email notification to be sent again to the emails listed. 


Points awarded on submit:

If you have Weever Rewards, you will be able to assign point values to be awarded to the User completing the form when they click submit the first time. Learn about Weever Rewards here.
